We are seeking a mature, upbeat, self-starter to serve as our full time Office Administrator. This role will cover a breadth of responsibilities making this person the ‘go to’ person for various tasks. The Office Administrator will assist with completing new client intakes and greeting clients, oversee any new clinician/new employee onboarding, be the face of the company with marketing initiatives, and manage the organization of the front office. Applicants must be a self-starter, exhibit problem solving skills, display a friendly, helpful disposition, and have proven customer service skills.
RESPONSIBILITIES include, but are not limited to:
- Assist director with administrative and operational tasks
- Ordering supplies, filing, database management
- Providing marketing assistance through networking, attending special events, etc.
- Greeting clients
- Serving as a back up to the receptionist to answer phones/direct calls
- Serving as a back up to the intake coordinator
- Opening and/or closing the office
- Exceptional familiarity with MS Excel and MS Word
- Prior customer service experience
- Administrative/executive assistance experience
- A valid driver’s license. Applicants must have their own car for assisting with marketing endeavors. Mileage reimbursement will be provided for any work-specific endeavors.
- Willingness to participate in a background check
- Bachelors degree preferred
- Previous medical office experience/familiarity with HIPAA compliance
- Networking, marketing, sales experience
- Experience with WordPress, social media a plus
- Familiarity with IT and electronic health records a plus
- Monday – Thursday 11 a.m. – 7 p.m.; Friday 9 a.m. – 5 p.m.
- Starting at $15.00-16.00/hr. based on experience with opportunity for advancement
